Trados Enterprise - 23.11.1 Release

We have just released the latest update to Trados Enterprise translation management capabilities, and we would like to share the new functionality that has been delivered.
New features and updates are automatically added to your account so just login to Trados Enterprise and they will be available immediately.

Workflow evolution

We have released the most significant changes to the workflow capabilities since the launch of our Workflow Editor in 2020. The main changes are listed below.

Making changes after delivery

We had many requests from customers to be able to modify files after they had been delivered to customers. This is possible following the latest changes introduced and will help in scenarios when feedback is received after initial delivery.
As part of this, we are changing Workflow Templates and introducing two new task types:

  • A new automated task called File Delivery – When a file passes through this workflow task, it is marked as completed and can be picked up for download. This task can exist multiple times, to incorporate multiple deliveries when designing your workflow
  • A new human task called Hold for Feedback – By default files will be held in this task, so that you can react accordingly if you receive feedback. This task will automatically be completed after 90 days by the system (this value can be configured in Workflow configuration).

Once you receive feedback you can Complete the Hold for Feedback task and return it to a previous task (or if you build your own Workflows, move it forward). This also enables you to pass through Translation Memory Update, to ensure all the latest changes are in the Translation Memory.

Changes to default Workflow Templates

As part of the above improvements, we are updating the default Workflow templates as follows:
Translation:

  • New automatic task File Delivery and new human task Hold for Feedback
  • Final Check → Return to Translation
  • Hold for Feedback → Return to Translation
  • Hold for Feedback → Return to Final Check

Translation & Review:

  • All of the above and:
  • Final Check → Return to Linguistic Review
  • Hold for Feedback → Return to Linguistic Review

Translation & Customer Review:

  • All of the above and:
  • Final Check → Return to Customer Review
  • Final Check → Return to Implement Customer Review

Translation & Customer Review & DTP:

  • All of the above and:
  • Final Check → Return to Desktop Publishing
  • Hold for Feedback → Return to Desktop Publishing

Note: Existing Workflows will work as before until updated. You can decide when you want to update your workflows to benefit from the latest changes.

New default Flexible Workflow Template

As part of the above changes, we are also introducing a new 6th default workflow template called Flexible Workflow. This new workflow template enables significant flexibility out of the box, empowering users to choose routes when completing tasks.

  • Implement Customer Review → Return to Customer Review

  • Desktop Publishing → Return to Customer Review
  • Desktop Publishing → Return to Implement Customer Review

Workflow Editor usability enhancements

View settings

We are introducing new options to display the routes of workflow tasks, making it easier to visualize complex Workflows without so many overlapping routes. There are now four new options at the top of the Visual Workflow Editor.

  • Horizontal – draws a route from the short side of Task A to the short side of Task B
  • Vertical – draws a route from the long side of Task A to the long side of Task B
  • Hybrid – draws a route from the short side of Task A to the long side of Task B
  • Direct – displays the quickest route from Task A to Task B

Highlighting routes

When you now hover on a task or on a route, it will highlight the route to make it easier to visually distinguish all the routes for more complex workflows.

Vendor Orders including Assignments

We are introducing a new area for Vendors to offer users greater visibility and functionality. You can find this new section under Orders in the main navigation bar when you login as a Vendor Project Manager.

This area now gives you more control and visibility when working for a customer as a Vendor. You can see a list of Orders associated with your Vendor, even if you are not the assigned Vendor Project Manager for that order.
Clicking on a project will reveal the details of tasks that are ongoing or been completed by your users.
In this view, you can complete tasks on behalf of users if they are unavailable to do this themselves. You can also reclaim tasks to yourself or reassign them to another user specified in the Vendor Order Template.
You can also see the Quote for this specific project in this view.

Additionally you also have access to all the Quotes from your current and historical Vendor Orders in the Quotes section.

AI feature updates

Generative Translation Engines update

The innovative Generative Translation Engine functionality based on Enterprise LLMs has been updated to include recognized Terminology and apply terms on top of the matches returned from MT. This can significantly improve the use of terminology, and as part of this, ensure surrounding wording is appropriate

Trados Copilot is now easily accessible from the Online Editor

We now also provide easy access to the recently released Copilot from the Online Editor view, so help is available at your fingertips wherever you are in the product.

Add Terms from the Online Editor

We have introduced the ability to Add terms directly from the Online Editor while working on a bilingual document, making it easy to add Terminology to your termbases as you work, ensuring consistent terminology use in your document.

Additional Notes

  • Access to this feature is governed by the Termbases > Edit Content permission which is not included as part of the default Linguist role. Customers have the option to create a custom role for linguists requiring access to this feature. Alternatively, users may be granted the default Terminologist role, but in doing so, those users would be given access to the full list of termbases; not only termbases linked to the tasks that user is assigned to.
  • You can enable/disable this option in the Translation Engine Settings by specifying if a Termbase can be updated.

Project Conversations

We have added two new permissions to the Project Conversations feature providing greater flexibility in how this is enabled for users.

  • Project Conversations > Delete own comment: This permission allows users to delete comments they have submitted and is enabled automatically to the default roles of Project Manager, Lead Project Manager and Administrator. The option to delete comments is only currently available in the Trados Enterprise interface but will be extended to the Customer Portal in a future release.
  • Project Conversations > Manage: With this permission, users can delete comments created by other users and edit the visibility setting for comments created by other users. In future, we will allow editing the content of comments which will be governed by this same permission. This permission is included automatically for the roles of Lead Project Manager and Administrator. As with the Delete own comment permission, this functionality is only available in the Trados Enterprise interface at this time.

Note: The ability to edit the contents of a comment will be available in a future release.

Customer Portal evolution

  • We have enhanced the status alignment between Trados Enterprise and Customer Portal by introducing a new status called "In Finalization” and accurately reflecting the “Cancelled” status. In Finalization represents the phase(s) of a workflow that follows the Customer Review task but occur before files are ready for download in Customer Portal.
  • Following on from recent releases, where we introduced real-time updates from the Project Details and All Projects > Tile views, this has now been extended to the All Projects > List view in Customer Portal. Users are now presented with a visual indicator to notify them when updates to the current page are available.

Import/Export QA Check Settings

It is now possible to import and export QA check settings, making it easier to transfer complex settings you may have defined in a Project Template and want to re-use in another.

Note: This is not compatible with Studio QA checker settings, the export/import only works from Trados Cloud to Trados Cloud.

Figma Preview

Users with the latest Trados Connector for Figma can now preview their Figma files in Online Editor

  • Navigate translation segments or preview
  • Paginated preview for multi-page Figma designs
  • Live update preview after translation edits are made

API updates

Our Public API continues to evolve with some customer-requested features. We have just released the following:

  • This release delivers more integrations for the customer resource type. You can now create, update and delete customers.
  • We enhanced the response model for pricing endpoints.
  • As previously announced, we made the dueBy, the location and the languageDirections fields mandatory for creating a project.
  • We added deliveredBy as a new field for the update project capabilities.

  • We extended the information available on the webhooks setup page.

  • You can now apply filters during TM import
  • Users can perform in-line Termbase imports directly from a Translation Engine
  • The workflow name is now displayed in the Project Details > Workflow page
  • Termbases in Translation Engines can now be reordered
  • Language Processing Rule values can now be reordered
  • Project Template details are now available in read-only view for users with only view permissions
  • The maximum length for filename + path has been increased to 255 characters
  • Assignments are now limited to a maximum of 50 users. This includes users in groups. If this is an issue for your use of the system, it is recommended to create groups specifically for granting permissions versus Groups for use in assignments
  • Various bug fixes and UX enhancements.

We hope this post was informative and we look forward to continuing to provide you with updates to the product.
