Trados Enterprise Release - Project Conversations

Trados Enterprise Release - Project Conversations

We are excited to announce the general availability of a significant new collaboration feature to help facilitate seamless communication within the Trados platform. With this new feature, project-level communication between cross-functional project stakeholders is vastly improved. This innovation facilitates interaction between users allowing them to exchange messages within the context of specific projects.

The Project Conversations feature is available automatically to all Trados Enterprise customers. At a user level, access to the feature is governed by the Projects > View permission. In accordance with the default roles included in Trados Enterprise, this provides access to project managers working in the Trados Enterprise interface and customer requesters via Customer Portal. In a future update, the feature will be made more widely accessible to other types of roles, including linguists and customer reviewers.

The initial functionalities available for Project Conversations include the automatic creation of subscriber lists for each project, so when new comments are added to projects of interest, we notify the relevant parties. The following criteria is considered when determining which users are included in the subscriber list for a project:

  • Project creator
  • Project manager(s) where configured in the Project Template
  • Planned assignees/assignees for the Customer Quote Approval task
  • Planned assignees/assignees for the Project Planning task
  • Any user(s) that adds a comment to a project conversation will be included in the subscriber list

Once a project is created, and a conversation has been started for that project, any subsequent comments trigger notifications sent to the subscriber list, both within the Trados Enterprise and Customer Portal interfaces and via email.

When adding a comment in Trados Enterprise, users can specify whether that comment should be visible in Customer Portal, or only to users that have access to the Trados Enterprise interface.

To keep users informed, we provide visual indicators for projects with existing or unread comments. We routinely check for new project comments, identify those of interest to specific users, and consolidate them into a single email notification at hourly intervals.

We hope this post was informative and we look forward to continuing to provide you with updates to the product.

  • Hi

We came up with another idea to enhance the push notifications on the TE interface. At the moment, it's too easy to overlook a notification or a message.

All the conversations messages should be centralized on a webpage somewhere in the TE system and the link to that webpage should appear on the notification window below:

Something similar to the link on the release notes pop-up windows for TE.

  • Yes! Adding a column under the Projects view is a great idea I think!

  • Ok, that makes sense. It's great that you are going to release an enhancement of that feature. The "Important" and High Priority" marks are good ideas I think!

  • For the first implementation of the feature, we aggregate notifications and send at hourly intervals. The longest a user must wait to receive a notification relating to a comment is therefore one hour. If they are logged into Trados at the time, they will receive the in-app notification from the aforementioned Conversations icon immediately.

We will adapt this behavior, based on customer feedback, but we didn't want to send notifications more frequently than hourly for the first release so as not to send emails too excessively to users.

Another future enhancement we are considering is to allow users to mark certain messages as "Important" or "High Priority". This would give us more flexibility when deciding how frequently to send emails. For example, we might send emails for "Important" comments  instantly, but batch non-critical emails and send once per hour. Your feedback on this will be very much appreciated though, Carla, and help us understand how customers would like to see this new feature evolve in the future.

  • Hi Carla,

Currently, we display a Conversations icon from the menu bar in the top right of the window. A coloured circled, as shown in the example below, indicates the user has unread comments. A list of unread comments and their projects is displayed when you then click on this icon.

In the future, we plan to include a new column/icon from the Projects view to further indicate when comments are present for a given project.

    Cheers,

    Ian
