Trados Team – August 22.08.01 and Previous 2022 Updates

We’re happy to announce that a new set of updates is now available for Trados Team, bringing you the following improvements and new features.
New features and updates are automatically added to your account, so just login to Trados Team, and they will be available immediately.

 

Terminology Management: new entry history feature

Our terminology management capability now has a new entry history feature. In each entry, we will now indicate who created an entry, term, or field, as well as when it was created and last modified. This is somewhat similar to the system fields in MultiTerm, our on-premise terminology solution, but goes a bit further in a few areas. For instance, if a field is changed inside a language section, the top ‘changed by’ and ‘changed on’ field in that section will also get updated.


 

Group tasks in Project Details –> Stages view

You can now group tasks in the Stages view, based on task type, Phase, Batch, Source/Target language, Assignee and Status. This is a particularly useful enhancement when working with large projects, as it provides users with a straightforward way of performing actions for a selection of tasks.

 

 

Online Editor Productivity: New way of working with terms, tags, acronyms and other placeables (beta)

Online Editor now supports quickly placing any elements from the source into the target segment – no matter if they are tags, acronyms, terms, formatting, or any other item.

 

 

In designing this feature, we wanted to unify the way that you can place such content and have one mechanism for all types of elements. Pressing [Ctrl]+[,] will display the list of items that can be inserted at the current cursor position, and Online Editor will show you the categories that you can insert or place. The Online Editor will also display any known categories as you enter the segment to make you aware which items are available.

 

Both mouse and keyboard are supported. In terms of keyboard shortcuts, once the categories are displayed with [Ctrl]+[,] you can press [Down] to open a list or [Right]/[Left] to browse the categories, then [Down] again to select a particular item from the list. Below are a few screenshots of different examples for placing tags or formatting, terms, and measurements.

Furthermore, this functionality has also been made available for the Translation Memory Maintenance Editor.

Batch upload based on filename matching

We have extended the automatic matching when replacing files during batch upload to support matching based on filename where no Task ID-prefix is found.

First, a user must select a target language (as the filenames are the same across target languages). When you then upload a file, Trados Team will try and match it automatically based on the filename

Additional changes

  • We have resolved an issue preventing reports from being downloaded for projects containing an apostrophe in the customer or project creator’s name.
  • An email notification is now sent to the project creator when the project due date has been changed.
    New task assigned e-mails can now include up to 50 tasks, rather than the previous limitation of 10.
  • We have improved Concordance Search to ensure the most recent results are displayed first.
  • Online Editor comments can now be multi-line by pressing Enter to add a new line.
  • We have resolved an issue where custom HTML file types did not offer preview settings.
  • A tooltip with the full name of a project is now displayed from the Project List View in Customer Portal.
  • Various bug fixes and UX enhancements.

 

Previous updates for Trados Team in 2022

Further, we wanted to use the opportunity to also include an overview of the updates to Trados Team that were delivered in the first half of 2022. You may have noticed that throughout the first months of this year we’ve not been providing the monthly update posts as before. We’re now investing more into delivering these for Trados Team to you again.
Please see below for a summary of the highlights delivered in H1 2022:

Project Management

Split package

When generating a package from the task inbox, stages, or files view, a user can now choose to split this into a specified number of packages. The number of files to be included in each package will be displayed based on the number of packages specified.

Task reassignment

We have introduced a number of options that provide greater flexibility during task reassignment, including the ability to reassign tasks with different assignees in a single action from the Stages view.

SDLPPX as source on a project

We now support SDLPPX packages as source files in the Trados Team user interface. This enables you to use sdlxliff files contained within for localization.

Note: This is an initial release of this functionality and will not make use of project settings or linguistic resources within. We have plans to offer this in subsequent updates, including the ability to create return packages.

UX improvements

We have introduced several User Experience improvements:

We have introduced a new grid view on Project Details -> Stages that can be selected. This makes it easier to work with projects that have many tasks.

Phases from the existing Stages view are represented as colored tags in the grid, consistent with the color of the phase used in the Stages view.

When switching to the new grid view:

  • All bulk actions that are available from the Stages view still apply 
  • Filtering works in the same way across both the grid and Stages views
  • From the grid view, it is also possible to filter by a single phase

Trados Team will preserve the layout preference for individual users working in Projects > Stages, and automatically adopt the same layout next time the user logs in.

In addition, the Project Details -> Stages view now has the option for live updates, so you can track processing or project changes more easily without the need to manually press refresh.
If you are performing an action currently, you will receive notification of pending updates so that you are not disrupted in your work. There is a user preference to toggle auto-refresh functionality on/off, with the default off. Please provide feedback on this functionality, as we are planning to eventually make this default on if it’s working well for users.

For customers with many project templates, we have now added additional filtering options during project creation to make finding the right template easier.

Task comments

Closing comments are now visible to Project Managers in multiple views:

  • Task History
  • File Versions
  • Audit Trail
  • Task Inbox
  • E-Mail notification

Custom fields on Customers

Custom fields have now been extended and can be applied to Customers as well, in addition to previously available Project and TM custom fields.
The Customers list view has also been updated with a filter on custom fields.
We’ve also added the capability for custom fields to be copied, to make it easier to create new custom fields.

Rename files in a running project

We have introduced the option to rename files in existing projects. This option is available from the Project Details > Files and Task Inbox > Files pages. When renaming a source file, a user is presented with the option to also rename the corresponding target files.

By default, only Lead/Project Managers and Administrators are allowed to rename files.

Option to download only the target files that have been completed

When downloading target files, users can now specify if they want to download the current version, native version, or only completed files. Previously, when selecting to download target files, the resulting zip file included not only the final target version for completed files but also the latest sdlxliff version for incomplete files.

 

Customer Portal

Target Language Specific File Selection

We improved the Customer Portal to allow users to specify into which target languages they want to translate individual source files.

When creating a new project, a user has the option to switch to an "Advanced View" from the Project Files area. On selection, a user can click against the language(s) for each source file and specify into which language(s) each individual file should be translated. When specifying the language(s), a user can choose from all the target languages included for that project.

For projects containing many target languages, it is possible to expand the Project Files area to increase the amount of space available. 


The same functionality is also available from the Project Details view when uploading additional source files to an existing project.


Note that target language selection is only applicable for translatable files. Any reference files included with a project are automatically available for all target languages in a project.

Edit Project Name and Description in Customer Portal

It is now possible for users to edit the Project Name and Description fields via Customer Portal up until the point a project has been approved.

Terminology

Smart handling of potential duplicates when adding new entries

We have introduced an effective way of managing a classic situation in terminology management: avoiding duplicate terms while still giving users control over creating separate entries for homonyms where this is required. Effectively, this means that users can now decide what should happen when they add a term that already exists in the termbase in the same language. In this situation, we now show a prompt that lets users decide the correct course of action to a) either explicitly create a new entry as a homonym or b) to let the user edit the already existing entry and make any required changes as well as merge any new fields into the entry so that no new information is lost.

What’s more, users will get a preview of the two merged entries before committing the change so that they have full control over what happens and can make any remaining edits.

 

Translation Memories

Multiple target languages per source language during creation of Translation Memories

When creating a new Translation Memory, it is now possible to specify multiple target languages per individual source language in the same row.

Previously, you could only specify a single source/target language in each row during TM creation:

Copy the structure of a Translation Memory

We have introduced the possibility to copy the structure of a Translation Memory, similar to the functionality that was previously available for Translation Engines. The contents of a Translation Memory are not copied as part of this process; only the underlying structure, such as the source and target languages, configured for a Translation Memory.

 

Online Editor

Usability Enhancements

Online Editor’s sidebar panel can now be detached and used as a separate window. This can be helpful when working with multiple screens or if a user wants the sidebar to be positioned elsewhere on the screen.

When completing a task from the Online Editor, users now have the choice to directly open the next task to which they are assigned, thereby avoiding the need to go back to their Inbox first.

As usual, Online Editor benefits from several other robustness improvements and enhancements.

 

API enhancements

  • You can now import/export a termbase and a termbase template
  • You can now convert an xdt file into a termbase structure
  • You can now upload a .zip archive and then poll for the extracted files. After extraction, you can upload multiple source files to a project using a single call. The maximum size for an imported .zip file is 10 MB.
  • The Java SDK client is now available in public beta.
  • Published API rate limits
  • Updated the Custom Fields documentation with useful GIFs
  • The .NET and Java client versions are updated with each API release.
  • Reading and updating the translation memory settings for a project.
  • It is now possible to update the filename for source and target files.
  • API limit increase and documentation updates. 
  • Deprecation of the language direction code will happen in 6 months. You can read more about it here.

  • Various bug fixes.

System Security

In-Product Antivirus scanning

All files uploaded to Trados Team are now automatically scanned by antivirus software. To users of the product, any files that are flagged as having malicious content are blocked for download and quarantined automatically so that they are not spread. The product now offers the ability to replace these files with non-infected versions​.

 

Additional changes

  • We have introduced a new Manage Users in Group permission to enable user management without changing the roles of a group.
  • Language selection in Termbase details is now remembered.
  • We now retain table personalization settings (e.g. column selection) from the Projects view, so users are no longer required to reconfigure this every time they login.
  • The Project Template is now included as an available field from the Projects list view.
  • The Created By field is now included when a translator or other user opens a file or project from their Inbox.
  • The product offering/subscription associated with a tenant is now visible from the Manage Account area.
  • Various bug fixes and UX enhancements.
  • You can now upload more than one package at the same time from the Inbox.
  • When a term is found in the Online Editor, you can now jump to the term entry from the sidebar by clicking on the eye icon.
  • It is now possible to accept tasks directly in the Online Editor view to mitigate cases where a user forgot or wasn’t aware they have to take ownership of a file before being able to work on it. Where a user is assigned, but has not yet accepted the task, we now display a button in the Online Editor directly allowing the user to accept the task without having to go back to their inbox.
  • Analysis reports can now be downloaded in XML format across multiple languages in a project in one go.
  • Mid-Project updates now also calculate cross-file repetitions.
  • XML/XHTML v1 File filters have been deprecated: https://community.rws.com/product-groups/trados-portfolio/trados-live/b/blog/posts/trados-enterprise---xml-xhtml-v1-file-filter-deprecation.
  • You can now apply the currently active or previously saved filter during the export process for Terminology.
  • It is now possible to select multiple picklist values when specifying which filter(s) should be applied for the corresponding page. For example, it is possible to filter based on multiple target languages or multiple task types, where those fields are available for filtering on a specific page.
  • Languages are now listed in alphabetical order within a human workflow task.
  • Email notifications are now sent from Trados rather than the previous RWS Language Cloud branding.
  • Updated custom field default values now reflect correctly in Project Template and Project creation views.
  • Language Weaver Machine Translation now supports English<>Macedonian and English<>Icelandic.
  • Various bug fixes and UX enhancements.
