Allow deleting files from projects without deleting the whole project - e.g. for confidentiality reasons

Sometimes we have projects with high confidentiality where we would like to be able to delete any project related files after finalizing the translation.

Besides confidentiality data protection with regards to names or other personal information would also be a reason for us to delete files from existing projects after finalization.

  • Hi, Ian:

Thank you in advance for your interest in this Idea.

Yes, I support Paola's comment. In our case, sometimes we are translating a document, and then, we receive a new update of this file. We can add the new file without problem, but we can't not delete the previous one. In the statistics we have two files instead of one because we can't not delete the previous one.

    Regards,

  • Hi, Ian:

    I appreciate your response.
In my case, it is scenario 1.
For example, I created a project with ten files, however, I realize that I need to replace one of the files. I use the "Add Files" option, but I don't have the option to delete the previous file. Ultimately, my statistics will show ten files, including the extra file, because I didn't have the option to remove the file that was replaced. That's my concern.

Thank you again for being interested in this topic.

  • Hi Iris, thanks for raising this suggestion, and to Ilka and Paula for your subsequent comments.

To summarize, I believe there are two scenarios when it would be useful to physically delete files from a project:

    1. When files are uploaded in error, or it is no longer necessary to deliver individual files within a project
    2. When files should be deleted for security or confidentiality reasons, after delivery of a project.

For scenario 1, I don't think we should restrict when files should be deleted. It should be possible to delete files at any point prior to project completion.

For scenario 1, is it fair to assume you would no longer want to include the word count statistics for deleted files in reports, or for these files to be visible in the UI? On the contrary, for files deleted under scenario 2 (for confidentiality reasons), it would still be important to report on the data associated with those files and have visibility in the UI.

Where you have a requirement to delete files for confidentiality reasons (scenario 2), would this apply to individual files within a project or could the rule be applied to all files in a specific project? For example, a more generic approach we might take for scenario 2 would be to introduce a new project/project template level setting that would mandate for all files in a project to be physically deleted a set number of days after project completion/archiving.

Looking forward to receiving feedback from you and other Community members on these points so we can validate the requirements and consider potential solutions.

    Cheers,

    Ian

  • I agree. It would be great if Trados allowed users to delete files from projects Raised hands.

  • Hi, to all:

I support this idea. Just as it is possible to add files to a project, it should also be possible to delete files. Sometimes, we accidentally upload files that do not belong in the project and are unable to delete them. Regards,
