Do I need to keep old project files if all segments are in TM?

Hi everyone

In preparation for GDPR, I'm trying to minimise the personal data I hold by removing identifying information from all my project files. As I use Trados for almost all my projects, this involves quite a lot of duplication of effort - I have to do the original source file, the target file, the XLIFF and the TM. However, the project files generated by Trados also contain duplicates of the source and target files - without these, the project does not load. Therefore I am facing the prospect of redacting the same document up to six times.

My question is: As all segments are saved to the TMs anyway, are there any compelling reasons to hold on to the XLIFFs and associated Trados project files once the project is finished?

Apologies if this is a silly question - my brain is fried by this point!

Best wishes,

Ruth Grant

  • Hello

I think this is actually an excellent question and which with GDPR just a month away will certainly attract a lot of interest and raise many questions.
We at SDL have been asked more and more over recent years about the ability to 'anonymise' files -
Maybe the following app is perfectly suited to both keeing the files (maybe they are needed at some point in the future), whilst anonymising the origin and keeping within GDPR.

    appstore.sdl.com/.../

  • Hi Steven

Unfortunately this wouldn't help - perhaps I wasn't clear. I'm not worried about disguising where the file came from or who worked on it - I'm concerned about personal data within the document itself. For example, if I translate a birth certificate, I would want to redact the names, addresses, DOBs etc. of the individuals mentioned within that document. No automatic tool can do this - I need to do it 'by hand'.

My question was: is there any situation in which I would need to retain the project files created by Trados in addition to the source file, the target file, and the TM? If not, the easiest thing would be to redact the source and target files (e.g. the Word files) and the TM and delete the rest. But I don't want to do this if there might be unintended consequences, as I will need to permanently delete these files.

    Best wishes,
