Hi there, I have an issue with TM metadata that I am struggling to resolve / understand the logic of, and require help with.
We have a client who uses Groupshare. We have access to their Groupshare server and add their server-based TM to projects that we process for them. Additionally, we maintain our own (client-specific) file-based TMs also add these to this client's projects.
As a data protection measure and to avoid sharing our translators' data with the end client, we manipulate the metadata when updating the TMs (both the client's Groupshare TM and our local file-based TM) using the "TM User ID" function when running the Update Translation Memory / Finalise batch tasks and overwrite the user ID with a code that the client provided to us. So far, so good.
However, we have received feedback from the client that some personal metadata is nonetheless being added to their Groupshare TM in the "Last used by" field. When we search for these segments in our own file-based TM, however, the metadata is anonymised. Please see an example below:
The top screenshot is from the client's server-based TM and contains the name of a colleague of mine. What make's it even stranger is that the time stamp must be wrong, as she was not working at 20 past midnight! As you can see, in the bottom screenshot the metadata and the timestamp are both correct.
I searched in the sdlxliff for this project and my colleague's username is not present in the file. We used the Xliff-anonymiser to make sure it contains no personal data. It is therefore really strange that it managed to find its way into the metadata of the server-based TM - and even stranger that the metadata in the file-based TM are correct.
The issue only affects isolated segments, but not every segment in a file / project.
We need to find a solution that ensures that no personal data appears in the field "Last used by" (or any other field). It seems that the "TM User ID" does not manipulate this field.
Can anyone shed any light onto when the "Last Used by" is updated and how we can manipulate this to ensure that no personal data goes into the server-based TM?
I hope I have explained the issue clearly. Please let me know if anything is unclear.
Thanks in advance for your help!
