Using Microsoft Teams as a share for Bilingual Review DOCX files

Hi

I'm using Trados Studio 2021 Professional.

I've created several bilingual review documents and uploaded them to a Microsoft Teams share.

I have found that once the documents have been changed, either by using the Teams built-in Word editor or downloading and opening up the desktop Word app, I cannot reimport these into my Trados project.

It also does not work if I share via Sharepoint.

If I create bilingual review docs as before, but this time share them on a "traditional" file share (going no-where near Teams) and then editing the files using the desktop Word app, it always works.

Has anyone attempted to do the same?

Is your experience the same as mine?

Do you have any tips to make this work?

It would be a shame not to be able to utilise Teams as it's the de facto file sharing method in our company.

Best Regards

Mark

The answer from Trados AI seems reasonable.  To add to it a bit... a few possible explanations for the problem include:

    1. Version compatibility issues: Microsoft Teams and SharePoint may use a slightly different version or format of Word files than your desktop Word app. This could result in compatibility issues when trying to reimport the files into Trados Studio.

    2. Changes in file metadata: When a file is uploaded to Teams or SharePoint, metadata about the file might be added or changed. This could include data about the file's creation, modification, or access history, as well as other data specific to SharePoint or Teams.  Trados Studio is certainly sensitive about changes in the underlying content as we use it for the reimport.  Similarly if you save to DOC and back to DOCX you may well lose the data and cause a problem..

    3. Format conversion: When you upload a Word document to Teams or SharePoint, the file might be converted into a different format for compatibility with the web-based editor. This conversion process could cause formatting changes that make the file incompatible with Trados Studio.

It would be a shame not to be able to utilise Teams as it's the de facto file sharing method in our company.

Indeed... but if it's changing the file I'm afraid the problem isn't one for the Trados dev team.

  • Thanks for your answer Paul,

I agree with your explanations. In our business we all use the same Teams word editor version and our desktop app is always the same too.

So it must be something that Teams is doing to the files behind the scenes.

I guess I have a workaround - don't share the review DOCX files to Teams.

    Thanks
