How to exclude/include certain elements from the source file and therefore from the word count in Trados Studio 2022

Hi Trados Studdio Team,

I would like to know how to exclude/include certain elements (such as numbers, hyperlinks, alt text, etc.) from the word count and I would also like to know how to lock segments and exclude them from the word count.

Below you'll find a screenshot of the Word file I want to exlude hyperlinks from:

Screenshot of a Word document with a list of hyperlinks related to refugee organizations, each hyperlink is labeled with the organization's name.

Now, I try to do this in two different ways:

1.  I go to File Type Identifier > Microsoft Word 2007-2019 > Common > and I unchecked the box  "Extract hyperlink". However, the links were not extracted when I finish creating the project and they still appear in the wordcount
Trados Studio interface showing the translation of the Word document with hyperlinks still included, indicating that the 'Extract hyperlink' option did not work as intended.

1.  I go to File Type Identifier > Microsoft Word 2007-2019 > Embedded content > Enable embedded content processing > Extract in all paragraphs > Tag definition rules > Add... and here is where I no longer know how to proceed

Trados Studio dialog box for adding or editing an embedded content rule with fields for 'Start Tag' and 'End Tag' and options for 'Translate' and 'Formatting'.

Thank you!

I think you may be misunderstanding how this works.  Extracting hyperlinks is a feature that supports you actually changing the hyperlink itself and not just the text around it.  So if you extract them you get this:

Screenshot of Trados Studio showing extracted hyperlinks with tags and Automated Translation status underlined in blue.

Now you can change the links themselves.  In your screenshot you didn't extract them so they are not available to change, but they are still in the document and you need to be able to handle the tags appropriately for the text you will translate.

On the analysis.  Normally you would be translating the text so it's important this is in the analysis.  With the hyperlinks extracted I have this wordcount (using the text you have shown):

Trados Studio analysis report showing total word count with placeables and tags before hyperlink extraction.

If I don't extract them I get this:

Trados Studio analysis report showing reduced word count with fewer placeables and tags after hyperlink extraction.

Note the number of placeables has reduced by the extracted hyperlinks that are not in the non-extracted file.  I've shown them below for two reasons:

Screenshot of Trados Studio with a list of hyperlinks and their corresponding Automated Translation status highlighted.

    1. you can see all six placeables so this matches the analysis
    2. you can see they are placeables because they receive the AT status (Automated Translation) and in the active segment they will be underlined in blue
    3. since they are underlined in blue they are seen as one placeable as they can be placed in one go:
Close-up view of a Trados Studio segment showing a hyperlink with a number indicating it is a placeable.
      (1) underlined and highlighted when selected
      (2) Ctrl+comma selects the placeable and also provides it in the target so it can be entered

You may know all of this, but I wanted to make sure since in reality these hyperlinks are not in the analysis count, only the text for translation is.  If you don't wish to translate this text then you have two options in a Word file I think because you cannot use embedded content here:

    1. you segment the text so that the hyperlinks are always on their own, or
    2. you hide hyperlinks in Word before you prepare your project

I think the second is probably the best idea.  To do that search and replace hyperlink style with Hidden font format like this:

Word's Find and Replace dialog box set to replace Hyperlink style with Hidden format to exclude from Trados analysis.

Then when you analyse the file in your project you get this:

Trados Studio analysis report showing further reduced word count after hiding hyperlinks in Word before project preparation.

This is because by default hidden text is not extracted for translation, which in this case is what you're trying to achieve,  However, note that you will have to deal with the increased tags:

Screenshot of Trados Studio with partially visible hyperlinks and tags indicating issues with text extraction.

I would also like to know how to lock segments and exclude them from the word count.

Lock a segment, or segment, by selecting them and pressing Ctrl+L.  Then exclude them from your analysis in the Analyze Files Settings for your project:

Trados Studio Project Settings window highlighting the option to exclude locked segments from analysis.
