TMs and dependency files unlinking from project

Hello,

We have noticed that when opening files in Trados projects that often we have to re-link TM(s) or the dependency file(s) but we do not know why they become unlinked in the first place. The issue occurs both when opening a project file, then opening a file within it and also when opening a file in a project that is already on the Trados dashboard. For example, a colleague of mine opened all files in a project and relinked the dependency files. Then, when they opened one of the files individually 2 minutes later they had to relink the dependency file again.

Our files used to be stored on a server but now they are stored in the cloud, though we use Trados Studio 2022 as a desktop application - could that be a reason why?

Thanks in advance for your help.

In the meantime, based on the information you have provided, here is a suggested answer to your question:

    Hello Jane,

It seems like you're experiencing an issue with Trados Studio 2022 where your Translation Memories (TMs) and dependency files are becoming unlinked from your projects. This can indeed be frustrating, especially when it happens frequently.

The issue you're experiencing could be related to the fact that your files are now stored in the cloud. Trados Studio is a desktop application and it might have difficulties accessing files stored in the cloud, especially if the connection is unstable or slow.

Here are some steps you can take to troubleshoot this issue:

Step 1: Check your internet connection to ensure it's stable and fast enough to access your cloud storage.

Step 2: Try to save your TMs and dependency files locally on your computer before linking them to your Trados projects. This can help to ensure that Trados Studio can access these files more reliably.

Step 3: Make sure that your cloud storage is properly synced with your local system. If the files are not properly synced, Trados Studio might not be able to find them when it needs to.

Step 4: If the issue persists, you might want to consider using a server-based solution like Trados GroupShare, which is designed to work with Trados Studio and can provide a more reliable way to manage and share your TMs and projects.

Adapt the settings in your project template in File Types -> SDLXLIFF -> General to embedd files over 20 MB. In case of existing project do so in the project settings.

  • Hi, thanks again for the suggestion.

I relayed this to the team but they are still reporting issues where they have to re-link files. This has been particularly frustrating on a recent project which contained 2,000 files. Unless the files were all relinked, the PM couldn't export or add the files to a TM. Do you have any other suggestions to prevent this from happening?

    Thanks in advance,

    Jane

Have you increased the size of embedded files as suggested? Or are you using Trados Enterprise?

  • Yes, my colleagues said that they have tried this work around but it didn't work. We are not using Trados Enterprise, we use Trados Studio 2022 SR2 - 17.2.12.19268 as a desktop application via network licences.

Our files are stored in the cloud rather than being stored on a server.

So you are working all in the cloud? If so, I have no experience at all with it.

  • We do not use Trados as a cloud application but our files are stored in the cloud so I suppose we download them when we open a project in Trados.

When you create a Trados Studio package, usually all the source files are embedded in the sdlxliff files, so anyone is then able to recreate target documents. To make sure this works properly, the embedded file size must be increased to 100 MB BEFORE adding the files. This adaptation must be done in the project template used. Changing this setting after the project has been created forces you to open all files in the project, perform a mini change there and save them again. Only then the source files will be included. And changing this setting in File -> Options is not helpful at all. You must make sure, this setting is adapted in the project template(s) used BEFORE creating projects. This way the files will be embedded in the sdlxliff files of the project. If then individual translators still have problems with dependency not found, they must find out, which software on their computer is emptying the Windows temp folder on regular basis and switch this behaviour of such software—usually an antivirus software—completely off.

  • Thank you. So, just to be clear, you have to create a project template first before you create any Trados project with a large file size to avoid this from happening as just increasing the file size through File>Options will not work.

More or less yes. In Trados Studio every single project is based on a project template. There are default templates and at least one of these is being used, even if you not chose any. So it is advisable to make sure you use a dedicated project template for different kind of your projects and have all the necessary settings there. Using project templates allows you to assign specific TMs and TBs to a project. You can also define QA settings per project there. Further you can adapt file type settings accordingly. Using project templates makes project creation in TS more intuitive, quicker and much easier. It helps to keep always the same settings for each customer and so on. In fact this is nothing else as templates in other areas of applications. These contain standard settings for certain purposes.
