You may not be able to.  What kind of file is it, and where is the content coming from?  Can you share a small snippet of the file?

I have used this feature before but now somehow I cant do it.

There are a couple of things you may be looking for.  The first is the automatic placing of a 100% match.  Try going to File -> Options -> Editor -> Automation and check "Apply best match after successful lookup".

If you just want to know who to apply the match in your TM then you can use Ctrl+T to insert the current match from your results window, or use Ctrl+1 for the first result, Ctrl+2 for the second etc.

To question 1:

It is a Microsoft Word file.

The original text in the customer file looks like

"Die Abbildung 1 zeigt den Aufbau der TDMA Funktion in den RZ/N1 Bausteinen. "

as one can see there is no "brick red background" colour indicating anything special- I mentioned it as "Field" in my question mail.

The text representation in the SDL Studio source segment looks like:

"  "

as one can see the word "Abbildung 1" here in Studio source segment has a brick red background.

If I translate the text as "Figure 1 shows the structure of...", Studio shows an error by putting a big red "x" in front of the target segment.

but at the same time, I cannot do anything about this "brick red background" from the source segment.

I think I will simply neglect the error and proceed. But it might be something for Studio experts to look into.

"CTL+T", "CTL+1" and "CTL+2" all work just perfectly as required.

You don't.
This is apparently a Word file, i.e. the content of the tag will be replaced automatically by Word with localized picture caption, when opened in localized Word version.

Apparently, all your previous source Word files were created by amateurs not knowing how to use Word features properly. Not very surprising, unfortunately.

In any case, this 'proper' usage has its drawbacks - localization of the captions depends on (and can be changed only in) the Word application actually used to open the translated file. I.e. if it's opened in German Word, the caption WON'T be translated, unless the person changes the caption text in Word itself.

Correcting a bit myself... You should have the word "Abbildung" actually extracted somewhere, just check your segments.

I did a test - this is the simple Word file:

...and this is how it gets extracted to Studio:

And this is "translated" file, where I "translated" only the blue "Figure" caption to "BLABLA":

So all perfectly fine...
