Analysis inconsistencies

I had written a helpline request and here, in a nutshell, is my problem.

We are a translation agency and work with Trados every day. We routinely get documents which we analyze for word counts or repetitions. Almost every time, we have no problem. We also have longstanding clients with whom we use a dedicated TM, and analyze large amounts of documents to create a sliding scale both for translators and clients alike, for pricing. Again, no problems.

There is one client, however, where we have been having increasing problems to the point where it is a major issue each day whether or not we will get an accurate analysis. Here is the process.

Each day we work with a file which we get from the customer, a large company, as a csv file, and send to the translator, who translates the file, and sends it to the proofreader, and then returns it to us. The translator and proofreader have an updated TM from us, and we are all using the same version of Trados (Studio 2011). Increasingly, however, we have this problem:

We run batch tasks, apply the language pair, the TM, and simply run the analysis and sometimes it comes up with zero repetitions. Or we run an analysis, and it has repetitions, but no percentages of matches. And then another day we run it, and it works fine, but with different results than what the proofreader has.

Thursday, Friday and yesterday we have had three days of zero repetitions in files with clear repetitions. And now today we had a “normal” result, meaning our word count matches that of the translator/proofreaders analysis, but the repetitions are much different. Can you make a suggestion what the problem could be?
