How to make the best of user profiles?

Hello,

A customer of mine is requesting that the option "Update Translation Memory" be deactivated for their projects.
As this is a global setting, all other projects - unrelated to that client - will be impacted as well, which I am not too keen about.

I explored the possibility of solving this with user profiles. I created a new one in which I deselected the Update option.
Furthermore, I created a new set of colors for the editor window, so I do not mix them up and end up with the wrong profile for other clients.

However, those settings do not seem to be attached to the profiles, since after switching from one to another, neither the colors nor the update settings switch back as well. They keep the last set value.
Profile 1 => Update + default color set
Profile 2 => no update + custom color set).

Has anyone already faced such an issue, and does anyone know how I can work around this?

Thanks for any support!

Trados Studio options menu with 'Update translation memory' checkbox unchecked under 'After Confirming Segments Manually' section.

  • Hello,

It seems like you're trying to manage different settings for different clients using user profiles in Trados Studio. However, it's important to note that not all settings are tied to user profiles. Some settings, like the "Update Translation Memory" option and color settings, are global and will not change when switching between user profiles.

Here's a workaround you can consider:

Step 1: For each client, create a specific project template with the desired settings. You can do this by going to "File" > "Setup" > "Templates" > "Project Templates" and creating a new template with the desired settings.

Step 2: When creating a new project for a client, select the appropriate template. This will ensure that the project has the correct settings for that specific client.

Step 3: To avoid confusion, you can name the templates after your clients or use a naming convention that makes it easy for you to identify which template to use for which client.

Remember, this method requires you to select the appropriate template each time you create a new project. It might take a bit of getting used to, but it will allow you to maintain different settings for different clients without affecting other projects.

I hope this helps! If you have any other questions, feel free to ask.

    Best regards,

I explored the possibility of solving this with user profiles

I haven’t tried the user profile way for a while, although I think it should work.

My first thought is via Project Settings, unticking the Update check boxes:

Trados Studio Project Settings window showing Translation Memory and Automated Translation settings with a list of language pairs. The Update checkboxes for English-French, English-German, and English-Japanese are visible, with the English-Japanese box unchecked.

I’d do this in the client’s project template, so any future project from this client and only from this client won’t update the TMs. You can even update a local TM that get’s updated.

  • Hello , thanks a lot for your answer. I notice, I forgot to mention the project I have to work on are server based projects I access via GroupShare. So I cannot do anything on the template.

But beyond this specific case, I just noticed that the user profile do not seem to be of any influence on custom colors (look & feel) or update behaviour. So the underlying question would be: am I doing anything wrong or are these aspects not part of what a user profile is supposed to manage?

You can still untick those server TMs.

am I doing anything wrong or are these aspects not part of what a user profile is supposed to manage?

I confirm that the updating TMs settings are there:

      <SettingsGroup Id="AutomationSettings">
        <Setting Id="AutoTmApply">False</Setting>
        <Setting Id="AutoApplyAutomatedTranslation">False</Setting>
        <Setting Id="AutoConfirmApplied100Match">True</Setting>
        <Setting Id="AutoApplyBetterMatchOnSegmentsMerge">True</Setting>
        <Setting Id="AutoTmLookup">True</Setting>
        <Setting Id="AutoTmUpdateOnSegmentConfirm">True</Setting>
        <Setting Id="EnableVerificationOnSegmentConfirm">True</Setting>
        <Setting Id="CopySourceOnNoMatch">False</Setting>
        <Setting Id="PrefetchTranslations">False</Setting>
        <Setting Id="AutoTmApplyTurnOffTrackChange">True</Setting>
        <Setting Id="AutoMtLookupOnConfirmedSegments">False</Setting>
        <Setting Id="HideEmptyMergedSegments">True</Setting>
        <Setting Id="MergedSegmentTranslationStatus">Translated</Setting>
      </SettingsGroup>

Could you please open your new user profile with a text editor (such as Notepad or Notepad++), search for the value of this AutoTmUpdateOnSegmentConfirm and confirm it is False (the value you wish)?

I confirm that the color settings are there as well (EditControlDisplaySettingsGroup element).

I’d try to create again the user profile with the color and ramining settings you wish. I used user profiles in the past, and a lot, and I hated them, because “I needed to think what I was doing”. If I remember well, the step asking to confirm to back up the actual user profile shows up too early (so “I needed to think”). Maybe you are like me and you doing something wrong… :-)

Please try to create the user profile one more time and let us know if it works.

    Great hint!

After checking the two profiles according to your recommandation: the variables are defined differently in each of the user profiles I have created, which are good news.

This tells me that, as you said, the probable cause of error seems to be sitting in the front of the computer. I probably do not pick the right order of actions when trying to switch between profiles. I'll have to try further.

Thanks a lot Jesús for your help!

I’ve been there too, don’t worry! Smiley
