Why is Trados 2024 not using the user TM user ID I provide in setup?

When I started using Trados 2024m I noticed that the TM user ID is some random one I did not choose. I tried to change it as usual in Setup>Users, but although the changed user ID now shows in Setup>Users, all the TM units still created under that original user ID. It is extremely frustrating and actually outrageous, because that User ID used /created by Trados is potentially exposing my personal data and I have no control over it. This is a very unwelcome change from previous versions of Trados I worked with. Trados seems to take this user ID from the automatically assigned default Windows 11 user name - I changed it in Windows, hoping it would help, but it does not. I tried looking in different registry keys (like HKEY_CURRENT_USER\Software\SDL\Studio -> MachineSupport\CurrentUserId), but it did not help and I don't know where else I can look to stop Trados from pulling the old user name from and use my chosen one instead. It is ridiculous - I wonder why is the user ID change feature in Setup even provided if it does not work? I really need to change my user ID as the one  Trados uses is too personal and I do not wish such personal information be potentially exposed. Please help.

Question improvement suggestion: Provide specific details about the version of Trados Studio you are using and any error messages you may have encountered during your attempts to change the TM user ID.

In the meantime, based on the information you have provided, here is a suggested answer to your question:

    Hello,

It sounds like you're experiencing a frustrating issue with the TM user ID in Trados 2024. Here are some steps you can take to address this situation:

**Step 1:** Verify the User ID Setting

    - Open Trados Studio and navigate to **File > Setup > Users**.

    - Ensure that the desired TM User ID is entered correctly in the TM User ID field. Click **OK** to confirm.

**Step 2:** Understand the Impact on Existing TUs

    - Please note that changing the TM User ID will only affect Translation Units (TUs) created after the change. Existing TUs will still show the original user ID.

    **Step 3:** Check Windows Username

    - If Trados is pulling the user ID from your Windows username, consider changing your Windows account name to something more neutral. However, you mentioned you've already tried this without success.

**Step 4:** Explore User Settings File

    - The TM User ID is stored in the User Settings.xml file. You can find it in the following path:

     - For Trados 2024: `C:\Users\[YourUsername]\AppData\Roaming\Trados\Trados Studio\Studio17\`

    - Open the User Settings.xml file in a text editor and check if the user ID is set correctly there.

**Step 5:** Create a New TM

    - If the issue persists, consider creating a new Translation Memory (TM) with the correct user ID. You can do this by going to **File > New > New Translation Memory** and filling in the necessary details, including the desired user ID.

    **Step 6:** Report the Issue

    - If none of the above steps resolve the issue, it may be beneficial to report this to the Trados support team, as there might be a bug or a specific setting that needs to be addressed.

I hope this answer addressed your question. If not, please reject the answer, add the question improvement suggestion information, and click the RWS Community AI checkbox on the right to try again.

  • None of the above help - the User Settings path provided is incorrect, but even if I get to that file, it seems that it contains the correct User ID.

  • Hi Jadwiga,
Navigate to Project Settings > Batch processing > TM Updates > TM User ID...
Make sure you can see your desired ID there.

  • Hi Stepan,

Thank you for your reply! Actually, since yesterday I managed to change something that made Trados use the ID I wanted it to use... I was searching for ways to find what User IDs are stored on my PC hoping and I came across some Microsoft forum post which advised to do the following to find the User IDs: "If you are logged into the PC, Windows Key+R > Type netplwiz and Enter. This will show you all User IDs of the computer whether Microsoft account or Local accounts." As suspected, it was showing my old user name, but since I was able to type in that field, I risked it and changed it... My PC behaved a bit strange after that (some apps did not open, Settings did not open either), but all went to normal after a reboot). Most importantly, when I opened Studio, it made me go through setting up a profile again, but after tat, it started using my chosen ID. When I navigated to TM User ID in Project settings just now as you suggested, I can still see my old ID at the top under Name (greyed out), but the user ID at the bottom is the new one I chose and it seems that it is now actively using it, even though the user name it the old one.

Thank you for your suggestion anuways!

Thanks for sharing your solution.  I am wondering how this got into this state in the first place.  Did you change the display name for your windows account after Studio was installed... or something like that?  "netplwiz" will allow you to change the displayname, which Trados Studio will use.  Installing 2024 will have triggered a fresh user profile setup, which would re-read your Windows account information, and this might have exposed an old or unwanted user name that had previously been hidden or overridden in your old setup.

Just wondering as this is an odd one, but would be good to understand how it might have got like this in the first place.

  • Thank you for the insight, Paul! I may be the odd one, yes,  although the fact that Windows 11 automatically assigns a username based on the first 5 letter of your Microsoft account (or whatever) is apparently the rule now (a ridiculous one I think, as I want to have the control over how my account and my main user folder on my PC are called without having to fiddle with registry keys!).

To answer your question - it all happened when I got a new laptop and installed Trados on it. When I realized  that the Trados ID was somehow linked with the automatically assigned Windows User ID and that changing it within Trados Setup did not work, what I did was reinstall Windows completely, then changed the Windows User name and user folder name and only then installed Trados. I was sure it would have solved the problem since as far as I knew the ID was changed, so Trados would use the new user ID upon a fresh install. Apparently, however, Trados still pulled the old ID name from somewhere else other than the Registry key or the folder name I had changed. I had no idea where else the old user name could be still saved (my IT knowledge is very basic, really), and in an attempt to try and find it, I came across that "netplwiz" command and seeing my old name there, I just changed it...

Not sure if this makes any sense, but I was happy to share in case it helps someone somewhere in the future!

  • Thanks for the detail, and yes it absolutely makes sense.  Windows' behaviour with account creation on new machines does seem a bit unhelpful.  Good catch, and thanks for documenting it.  Might save someone else from the same headache!

fyi  in case it's new to you!
