How to change the segment status to "translation approved" for multiple rows

Hi, I'm proofreading a file in a Groupshare project and would like to change the status of all rows to Translation Approved in one time. For some reason it doesn't work to select multiple rows. I work on an Apple computer with Apple keyboard and have Trados installed on a Windows virtual machine with Parallels.

Can anyone help me out please? Thank you so much in advance.

  • Hi Linda,

You should be able to approve the translation for all segments the same way as you would confirm all segments in Studio editor view -

By selecting the target text with Ctrl + Shift + End ( or Mac equivalent) then confirm segment normally by Ctrl + Enter.

Alternatively you could click on the first segment in the target text, click and hold shift, scroll down to the last segment to select a whole target text and then Confirm.

    Regards,

    Roman

  • When you open the document for Review or Sign-off and will then close it, Studio will ask you, if you would like to set the status of all segments, which have remained untouched to Translation approved or Signed-off. So it is not necessary to either confirm segment by segment or in groups of segments, when proofreading - just do what you need to do and then close the file. When Studio asks, confirm with "yes" and all untouched segments will be changed to "Translation approved". Segments, which bear changes and thus have the status "Translation rejected" (or respective "Sign-off rejected"), will however keep this status.

  • Hi Linda,

I think the tricky part is selecting multiple segments at once. What you need to do is place your mouse on the segment number, click, then hold Shift and scroll down to the last segment you want to select, and click on the last segment's number. The first segment will show in blue, and the rest of the selected segments will appear in yellow. Then right-click over the segment number column and select Change Segment status from the menu.
  • Hi Linda,

Roman, Jerzy and Nora have given you 3 valid ways of changing the segment status of multiple rows at once.

As Jerzy said, his works in Review mode to achieve 'translation approved' status on closing the file.
Roman's would apply in Review mode because confirming in Review mode achieves the 'translation approved' status.
In Translation mode, you would only achieve the 'translated' status of course.

Nora's method work in ALL modes as you can select the status you wish from the dropdown menu that appears. I find this method easier as one only needs to click on the the first number cell of the first row and the last number cell of the last row

So, Jerzy's method works on the whole document.
Roman and Nora's methods work on a part of, or the whole document.

The extra information I'll add to this is that Roman and Nora's methods ALSO work if you have multiple segments visible via a FILTER (either via the Review ribbon or via the Advanced filter accessible on the right). They will only change the status of the segments that are visible via the filter.
    I find this VERY useful.

    All the best,
    Alison

PS: I don't use Groupshare - there may be other factors that apply ... ?
