Sorting TMs in GroupShare

Dear fellow GroupShare users,  I have question regarding the information about the Translation Memories. Is it possible to somehow sort the TMs in GroupShare to view their creation date?

  • Thank you for saving me from spending hours on pointless clicking around! A pity that it is not an option in GroupShare, because we are forced to use google sheets for sorting the recent TMs according to date.

    I'm the Product Manager for GroupShare. I would be interested if you could briefly share your use case for needing to sort TMs by creation date. So what exactly happens to the TMs once they are sorted by date? Are there any other filtering options you would find useful?

    This will help me in making sure we can address this request going forward.

    Thank you for expressing your interest in the issue we have.

    The reason we need to sort our TMs by the date is that our company has a very big number of individual TMs for the clients we cooperate with. We use organizations in GroupShare as folders and libraries as sub-folders containing TMs for specific clients. It used to work well until we have decided to migrate all the local TMs we had into the server.

    The system we have developed is this:

    1) The TMs are saved into Translation memory organization when they are created.

    2) The libraries for TMs to be stored for the projects  are created.

    3) Those TMs that are needed for the current projects (stored in Translation memories org.) are linked with the corresponding libraries in Translation libraries organization and the Operations organization.

    Once the TMs are linked to the Translation libraries and Operations organizations - they are visible to the translators working with us in GroupShare (they have access only to Operations organization).  So the sorting by date is necessary to find out which TMs were already linked to the Translation libraries and Operation organizations and which still remain newly created in Translation memories.

    Thank you for the feedback, I understand now. We can expose the creation date in the website, too late now for the GroupShare 2017 Release but hopefully in one of the Service Release.

    One note, that may make your life easier in the future. I'm not sure if you use the Project Server part of GroupShare?
    If you do, GroupShare 2017 is going to bring a key enhancement in this area. We call it Dynamic Resource Access.

    Essentially what this does is that we now link the assignment of a task to the Resource permissions.
    So you can have a Organization called "Translators" for example, which holds your users. This Organization has no Resources and your users don't have permissions to any other Organization.
    So if a Translator is not working on anything for you, he can login but doesn't see anything.

    Now what happens when you assign a file in a Project in any other Organization to a Translator and make it the active phase in GS 2017?

    We automatically generate a library which contains the Project, the TM(s) you selected in the Project and any Termbases.
    So we automatically give the user access to only resources he needs.
    Once the user moves the phase to Review for example, if he is not assigned to that Phase, he automatically loses access to those resources again.

    So hopefully this will be a huge time saver in managing access to GroupShare Resources.
