Studio 2021: Comments in Word source docx not picked up for translation

Hello, I wonder if anyone can help?


I am translating a MS Word docx in Studio 2021. Source docx has comments which need to be translated.

I checked the "Extract comments for translation" checkbox for the Word 2017-2016 file type before adding the file to the project.

In the Editor, source segments with comments are highlighted in yellow, and comments are displayed on hover. However, they are not presented for translation, and target docx is saved without comments. Also, yellow highlight and comments are not preserved when copying source to target.

What am I doing wrong?

    I think that there are 2 options that explain what happened:

    - you changed the project settings after adding the file to the project.

    - you changed the settings in options, so they are not applied to your ongoing project.

    Please, go to your Project Settings > Fiile Types > press the Browse button at the bottom, select the Word file, and then click the Preview button. Are the comments extracted as you wish?

    If so, your settings are in your project settings, so the easiest way would be to update the file. To do so, right click on the file in the Files view and select Update File. It takes some seconds to update the file. Check that comments are now extracted…

    If comments don't appear in the Preview above, apply your settings to your project settings, and then, update the file following the above procedure.

  • Hi Jesús, thanks for looking at and replying to my query. I tried your suggestion, and this is what happened:

    Browse button:

    Comments appear highlighted in target with comment text in hover box, but not found in translatable text:

     

    Right-click on file in Files view and selectin Update file presents file explorer window. Selected original file there. Progress indicator appeared

     

    Then tried to open file in Studio Files view. Warning message:

    Now unable to open the file.

     

    Tried update by selecting file in Studio Projects Directory of file explorer. Same result.

     

    So decided to create a new project:

     

    In Welcome view, checked Options/File type/MS Word 2007/2019 Settings (also for Word 97-2003 to be on the safe side:

    Trados Studio settings with 'Extract comments for translation' checked and 'Retain Studio target comments in target file' unchecked.

     

    Checked again from Project view. Extract box still checked.

     

    Created new project with different name, same original Word file.

    File now opens without any comments or highlights. Checked Project Settings, MS Word file type:

    Trados Studio settings with both 'Extract comments for translation' and 'Retain Studio target comments in target file' options checked.

    So now I need to try and recover my work in the file I had originally worked on (as it was a draft, I had not saved everything to the TM). Any help appreciated.

  • Hi Jesús, just to say I have managed to open the previous file with my existing work - 2 subdirectories had been created in the Projects directory. Still no translatable comments in either of the files in the new subdirectories, one of them does not even show them as highlights. Will probably have to be a manual job.

    Have you got folders in your Files view?

    Trados Studio Files view showing folders with blurred names and a Spanish (Spain, International) language setting.

    I mention it because I get exactly your error message whenever I try to update a file in a folder…

    Also, in order to extract comments, you only need to tick the first checkbox:

    Trados Studio Comments settings with 'Extract comments for translation' checkbox unchecked and 'Retain Studio target comments in target file' checked.

    Then I'm a bit confused with your explanation. If Trados doesn't extract the comments in Project Settings > File Types > Preview, then the right settings are not in place. This is the first thing you need to achieve before doing anything with that project. You need to see the COM segments in the Preview, I mean something like with a comment inserted in the word Nemo:

    On the other hand, if you want to create a new project, you'd need to ensure that Trados extract the comments in Options > File Types > Preview. You need to verify it before creating a new project. I'm not sure if you created your new project after or before changing the file type settings.

    Anyway, if you can't really use the Update feature, I'd follow this procedure:

    1. Open your 1st project (forget about the 2nd one).
    2. Add your translations of this project to the TM.
    3. Ensure that Trados extract the comments in Project Settings > File Types > Preview. I mean, comments appear as translatable strings, not just by hovering with the mouse.
    4. Make a copy of your original DOCX file and rename it to something like whatever v2.docx
    5. Add that 2nd file to your first project and pre-translate it. Comments should be there.
    6. Translate this 2nd file as usual.

    Last, it's not a good idea to have projects under OneDrive and similar services. You can confirm that by reading some posts in this Community. I don't think your actual problem is related to OneDrive, but you know that it can cause problems someday.
